Classment School Management Platform
At Classment Technologies Private Limited ("Classment," "we," "our," or "us"), we are committed to protecting the privacy and security of every user of our school management platform. This Privacy Policy explains how we collect, use, store, share, and protect information when you use our mobile application and web portal (the "Platform").
This Policy applies to School Administrators, Teachers, Librarians, Drivers, Parents, and Guardians. Please read it carefully alongside our Terms of Service.
1.Information We Collect
1.1 Account and Registration Information
Mobile phone number (used for OTP-based authentication)
Full name (first name, last name)
Role on the Platform (School Administrator, Teacher, Librarian, Driver, Parent/Guardian)
School affiliation
1.2 Student Information (managed by Schools)
Name, date of birth, gender, nationality, and profile photograph (if uploaded)
Admission number, enrollment date, and academic year
Class, section, and roll number
Attendance records (present, absent, late, leave)
Examination scores, grades, and report cards
Assignment and homework records
1.3 Parent and Guardian Information
Name and relationship to the student
Registered mobile phone number
Emergency contact designation
1.4 Teacher Information
Name and employee ID
Profile photograph (if uploaded)
Assigned classes and subjects
Timetable and schedule assignments
1.5 Fee Records
Fee structure details and amounts as defined by the School
Payment due dates and payment status (as recorded by School Administrators)
1.6 Usage and Technical Data
Login timestamps and active session information
Device type and operating system version
In-app navigation patterns (collected in anonymized, aggregated form)
Error and crash logs for debugging and stability
1.7 Communications
Support requests and correspondence submitted to our support team
1.8 Location Data (Driver Accounts Only)
Real-time GPS coordinates (latitude and longitude) transmitted during active school trips
Background location data collected exclusively from Driver accounts and only while a school trip is actively in progress
1.9 Camera and Media Access
Camera access may be used when a Parent/Guardian or Teacher chooses to capture a profile photograph for upload.
Photo library or media access may be used when a Parent/Guardian or Teacher chooses an existing image for profile photo upload.
For Librarian accounts, camera access may be used to scan ISBN barcodes to look up book details while adding books to the library catalog.
2.How We Use Your Information
We use the information we collect to:
Provide and maintain the Platform's academic management services;
Authenticate users securely via OTP and manage active sessions;
Generate attendance reports, academic progress summaries, and report cards;
Enable school-to-parent communication and announcement delivery;
Allow teachers to record and update academic data for their classes;
Maintain digital fee records on behalf of Schools;
Improve Platform features through anonymized, aggregated analytics;
Provide customer support and resolve technical issues;
Send critical service notifications, including security alerts and policy updates; and
Comply with applicable legal and regulatory obligations.
For users with the Driver role: collect and transmit real-time GPS location (including background location during active trips) solely to enable live bus tracking visible to parents of students assigned to that trip.
Allow Parents/Guardians and Teachers to capture or upload profile photographs, and allow Librarians to scan ISBN barcodes to look up and add library books.
We do not use personal information for targeted advertising, behavioral profiling for commercial purposes, or the sale of data to any third party.
3.Legal Basis for Processing
We process personal data under the following lawful bases:
Performance of a service agreement with the School;
Legitimate interests of Classment in providing, operating, and improving the Platform;
Compliance with obligations under Indian law, including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023; and
Consent, where explicitly provided (for example, when uploading student or teacher profile photographs).
4.Data Sharing
We do not sell, rent, or trade your personal information. We may share data only in the following limited circumstances:
4.1 Within the Platform
School Administrators can view all data within their School account
Teachers can access data related to their assigned classes and students only
Parents can view data related only to their linked child
4.2 Trusted Service Providers
We engage carefully selected third-party providers for cloud infrastructure, data storage, and application security. These providers process data solely on our instructions and are contractually bound to maintain appropriate data protection standards. They may not use your data for their own purposes.
4.3 Legal and Regulatory Requirements
We may disclose information when required by applicable law, court order, governmental directive, or regulatory authority, or when necessary to protect the rights, property, or safety of Classment, its users, or the general public.
4.4 Business Transfers
In the event of a merger, acquisition, or sale of substantially all assets, user data may be transferred as part of the transaction. Affected users will be notified in advance and their data will remain subject to this Privacy Policy.
5.Data Storage and Security
All data is stored on secure cloud infrastructure with strict access controls, encryption at rest, and encrypted data transmission (HTTPS/TLS) for all API communications.
Our security measures include:
Role-based access control (RBAC) restricting data access to authorized roles
OTP-based authentication with time-limited, single-use tokens
Encrypted HTTPS communication for all client-server interactions
Regular security audits and vulnerability assessments
Comprehensive audit logs for sensitive data access and modifications
While we apply industry-standard security practices, no system can be guaranteed completely secure. We encourage users to use strong device PINs and to log out after each session, especially on shared devices.
6.Data Retention
We retain personal data for as long as:
An active School subscription exists;
Required to fulfil legal or regulatory obligations; or
Necessary to resolve disputes or enforce agreements.
Student academic data is retained for the duration of the active academic year and for an additional period to support report generation and audit queries, typically not exceeding three (3) years after a student graduates or is disenrolled.
Upon termination of a School's subscription, that School's data is retained for ninety (90) days to allow data export, after which all data is securely and permanently deleted.
You may request deletion of your personal data by contacting your School Administrator. Requests are subject to applicable legal retention obligations.
7.Children's Privacy
The Platform processes student data, including records of students who are minors. Such data is managed by authorized School Administrators and is accessible only to the student's assigned teachers and their registered parent or guardian.
Student data is never used for advertising, behavioral profiling, or any commercial purpose. It is not shared with any unauthorized third party.
Parents and Guardians may review their child's data at any time through the Parent portal. For corrections or deletion requests, please contact the School Administrator.
Schools bear primary responsibility for obtaining any consents required under applicable law for processing student data within their jurisdiction.
8.Third-Party Services
The Platform currently uses the following categories of third-party services:
Cloud infrastructure providers for secure data hosting and storage
SMS gateway providers for OTP delivery to registered mobile numbers
Application monitoring and crash reporting tools for platform stability
All third-party providers are required to maintain appropriate data security standards and are permitted to process data only as directed by Classment.
The Platform does not integrate social media networks, advertising platforms, or cross-site tracking technologies. We do not use cookies or persistent trackers for commercial profiling.
9.Your Rights
Under the Digital Personal Data Protection Act, 2023 (India) and other applicable regulations, you have the following rights:
Right to Access: Request a summary of the personal data we hold about you.
Right to Correction: Request correction of inaccurate or incomplete data.
Right to Erasure: Request deletion of your data, subject to legal retention obligations and applicable law.
Right to Grievance Redressal: Lodge a complaint with our Grievance Officer if you believe your data has been handled inappropriately.
Right of Nomination: Nominate an authorized person to exercise your data rights in case of death or incapacity.

10.Data Breach Notification
In the event of a data security breach that poses a risk to user rights and freedoms, Classment will:
Assess and contain the breach within the shortest practicable time;
Notify affected Schools within 72 hours of confirming the breach, where required by law; and
Inform individual users of the nature of the breach, data affected, and steps taken to mitigate harm.

In accordance with the Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021, and the DPDP Act, 2023, we have designated a Grievance Officer to address your concerns:

12.Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or Platform features. We will notify users of material changes through in-app notices at least 14 days before the update takes effect. The updated Policy will display the revised "Last Updated" date at the top.
Your continued use of the Platform after an update constitutes your acceptance of the revised Privacy Policy.
